Job Description Outline, which includes but is not limited to managing Accountant positions and other accounting staff in performing their assigned responsibilities in completion of the followed:
1.Oversee the preparation of the monthly Commercial Portfolio Financial Statement, which includes but not limited to: a. General Ledger review b. Confirm Receivables Aging is correct c. Compare Rent Rolls to Income to assure income reported correctly d. Review Expenses for correct allocations. Add notes regarding major orexceptions. e. Compare Current Income Statement to Prior Year Income Statement andprepare notes on differences. 2. Preparation Consolidated Financial Reports with Notes for the Commercial Portfolio. 3. Review Daily Cash Position Reports and Bank Reports. 4. Assist with maintaining user set up and access for MRI and Banking needs. 5. Prepare annual budgets for the Commercial Portfolio to assist with CAM, Cash Projections, and potential Income Tax Liability. 6. Oversee the preparation of the Common Area Maintenance and Operating Expenses for Tenants applying the terms of their lease agreement. This includes managing accounting staff to complete the process: a. Preparing Budget to Actual reconciliation/True Ups b. Preparing Base Year to Actual reconciliation/True Ups c. Updating Tenant files in CM and preparing Invoices d. Prepare correspondence, including filing copies into lease files and sending/mail. e. Assist with responding to Tenant questions. 7. Oversee all commercial bank reconciliations assuring that files are kept current and filed/scanned according to procedures. 8. Includes reviewing and approving all appropriate Journal Entries assuring that proper documents is attached and all entries are filed/scanned into designated filing system. 9. Manage and oversee the preparation of the Weekly Consolidated Commercial Properties Cash Flow Report.

Responsibilities:
Prepares and distributes proposals Prepares leases, modifications, date change amendments, surrender agreements, and other miscellaneous documents Scan and input data for lease file documents Email Docstar version of new leases and renewals to specified Olen email list Scan in final lease and renewal proposals to Docstar Prepare renewal documents and accompanying letter to be sent to tenant six months prior to lease expiration Generates appropriate documentation in support of renewal and new lease transactions Prepares and records all agreements to surrender for relevant projects Prepares and processes all sub-leases/assignments/name change modifications/lock box agreements Assists in maintaining up-to-date and accurate reports. Will report directly to the V.P. of Development, Florida Division. Responsibilities and Job Duties: Manage assigned construction projects including the project timeline and budget. Your responsibility begins at the pre-construction planning and continues through the end of the warranty period. Review and evaluate bid documents and work to increase subcontractor base. Qualifications/Skills:
3 plus years construction project management experience of mixed-use buildings. A bachelors degree in engineering, architecture, construction management, or other applicable background. Must possess the ability to organize, prioritize and manage multiple tasks. Must have the ability to write reports, contracts and business correspondence. Requires the ability to read and interpret construction drawings and specifications. Strong working knowledge of MS Office, including skills in Word, Excel and Outlook. Experience with MS Project preferred. Must be able to navigate a jobsite that is under construction to ensure proper construction practices have been used.

Under the direction of the Property Manager, the Leasing Consultant is responsible for performing all the duties associated with the leasing of vacant units on the property to help ensure a high occupancy rate and assisting in customer service, and resident retention of current residents.
GENERAL OPERATIONS: 1. Performs duties associated with the rental of apartments and off-site marketing. 2. Conducts tours of models, vacant apartments, property, and property amenities. 3. Performs all the daily and monthly duties associated with the renewal of existing residents as assigned by the Property Manager. 4. Inspecting and upkeep of models, leasing office, tour route and overall property appearance, opens and closes models and target units daily. 5. Informs prospects of Company Qualifying Criteria and ensures that all applicants are screened, approved by Property Manager, and ensures application to move-in process meets all Company standards and practices. 6. Processes rental applications and verifies all information on rental applications, obtains all necessary verifications in a timely manner for review and final approval of the Property Manager. 7. Completes online Renewal Agreement, emails, and ensures eSignatures are obtained and countersigned by Property Manager prior to lease expiration date. 8. Performs and documents renewal inspections, ensure all renewal documentation is accurate and updated in OneSite, including, notices to vacate, inspection notes and all resulting maintenance service requests are processed immediately, delivers and documents renewal thank you cards and/or gifts. 9. Performs daily renewal follow up until assigned renewals are concluded. Documents all renewal follow up and resident communication in OneSite, including signed renewals, notices to vacate, MTM and transfers. Ensures all maintenance notifications are processed for all on-site transfers in a timely manner. 10. Ensures that the Rental Criteria tab in Lead2Lease is properly filled out on all guest cards. 11. Follows Company policy for daily prospect follow up with phone calls, emails, and written correspondence to all qualified, unclosed traffic. Properly documents all follow up attempts and communications in Lead2Lease on a daily basis. 12. On a daily basis, performs all the duties required to monitor and communicate with past walk-in, phone and email traffic to promote and/or initiate return visits. 13. Ensures that all guest cards in Lead2Lease are maintained properly and all traffic is closed out properly by either applying for a unit or concluding the lead. 14. Follows Company policy and communicates effectively and promptly using OneSite tools to Maintenance Department for all new rentals/move-ins, all move-in inspections which resulted in OneSite service requests. Follows up with Maintenance Department prior to move in day to ensure all maintenance items completed. Re-inspects unit prior to move-in. 15. Assists with the preparation of renewal and move-in gift bags, places in unit prior to move-in with Olen Thank You card. 16. Follows through and assumes accountability for overall move-in program to see that everything is handled correctly. 17. Keeps informed about sister communities, referring the prospect when unable to assist them at your property and properly follows Company Policy on Sister Referral process. 18. Assists with initiating resident service requests. 19. Assists with completing service request follow up calls and assists with closing resident service requests. 20. Assists in maintaining required inventories for community supplies and equipment. 21. Assists in maintaining up-to-date and accurate reports and completing all reports as requested by Property Manager and/or Corporate Office. 22. Assists in collection of rents and deposits. Prepares rent receipts. 23. Prepares and maintains resident files and general office files. 24. Attends leasing meetings. 25. Handles resident concerns in the absence of Property Manager. 26. Performs all tasks assigned by Property Manager, and/or Corporate office. 27. Abides by all Company policies and procedures and use all appropriate forms. MARKETING: 1. Conducts monthly market surveys of comparable properties in surrounding areas and updates Property Manager, keeps marketing notebook of all competition. 2. Based on monthly marketing survey, traffic, and resident notices, makes suggestions to the Property Manager on which properties may need to be removed from the comparable set because they are not truly comparable and why. If applicable due to new builds, suggests any new comps that should be added, why they should be added and provide Property Manager comp set data for review. 3. Reviews all advertising and keeps abreast of all rates, incentives, and concessions at the community, as well as competitive communities. 4. Utilizes competitive marketing data to overcome prospect objections at time of tour and telephone call. 5. Assists with Outreach Marketing Program. Follows all Company policies for documenting all Outreach Marketing performed. 6. Participates in all monthly resident marketing programs, renewal thank you cards, NTV thank you cards. 7. Maintains a leasing kit. PROPERTY RELATIONS: 1. Assists with the planning and execution of property retention programs and resident activities. 2. Obtains maximum renewals of existing resident leases in accordance with Company renewal policies and procedures. SUPERVISORY RESPONSIBILITIES: There are no supervisory responsibilities in this position. Under the direction of the Property Manager, the Leasing Consultant is responsible for performing all the duties associated with the leasing of vacant units on the property to help ensure a high occupancy rate and assisting in customer service, and resident retention of current residents.
GENERAL OPERATIONS: 1. Performs duties associated with the rental of apartments and off-site marketing. 2. Conducts tours of models, vacant apartments, property, and property amenities. 3. Performs all the daily and monthly duties associated with the renewal of existing residents as assigned by the Property Manager. 4. Inspecting and upkeep of models, leasing office, tour route and overall property appearance, opens and closes models and target units daily. 5. Informs prospects of Company Qualifying Criteria and ensures that all applicants are screened, approved by Property Manager, and ensures application to move-in process meets all Company standards and practices. 6. Processes rental applications and verifies all information on rental applications, obtains all necessary verifications in a timely manner for review and final approval of the Property Manager. 7. Completes online Renewal Agreement, emails, and ensures eSignatures are obtained and countersigned by Property Manager prior to lease expiration date. 8. Performs and documents renewal inspections, ensure all renewal documentation is accurate and updated in OneSite, including, notices to vacate, inspection notes and all resulting maintenance service requests are processed immediately, delivers and documents renewal thank you cards and/or gifts. 9. Performs daily renewal follow up until assigned renewals are concluded. Documents all renewal follow up and resident communication in OneSite, including signed renewals, notices to vacate, MTM and transfers. Ensures all maintenance notifications are processed for all on-site transfers in a timely manner. 10. Ensures that the Rental Criteria tab in Lead2Lease is properly filled out on all guest cards. 11. Follows Company policy for daily prospect follow up with phone calls, emails, and written correspondence to all qualified, unclosed traffic. Properly documents all follow up attempts and communications in Lead2Lease on a daily basis. 12. On a daily basis, performs all the duties required to monitor and communicate with past walk-in, phone and email traffic to promote and/or initiate return visits. 13. Ensures that all guest cards in Lead2Lease are maintained properly and all traffic is closed out properly by either applying for a unit or concluding the lead. 14. Follows Company policy and communicates effectively and promptly using OneSite tools to Maintenance Department for all new rentals/move-ins, all move-in inspections which resulted in OneSite service requests. Follows up with Maintenance Department prior to move in day to ensure all maintenance items completed. Re-inspects unit prior to move-in. 15. Assists with the preparation of renewal and move-in gift bags, places in unit prior to move-in with Olen Thank You card. 16. Under the direction of the Resident Manager and the Maintenance Supervisor, the Maintenance Coordinator is responsible for maximizing the maintenance department’s efficiency and effectiveness under the direction of the Resident Manager and Maintenance Supervisor.

General Operations: 1. Processes service requests and monitors for completion. 2. Keep accurate records regarding all service requests processed. 3. Maintains all maintenance records, logs, and reports. 4. Maintains a complete record/log of parts used by maintenance personnel for inventory control. 5. Monitors and maintains maintenance move-in/move-out board. 6. Monitors vendor performance. 7. Assists Resident Manager with apartment move-in/move-out inspections. 8. Schedules apartment turnovers on a timely basis (painting, cleaning, carpet cleaning, etc.) 9. Assists in soliciting vendor bids as requested. 10. Under the direction of the Property Manager, the Leasing Consultant is responsible for performing all the duties associated with the leasing of vacant units on the property to help ensure a high occupancy rate and assisting in customer service, and resident retention of current residents.
GENERAL OPERATIONS: 1. Performs duties associated with the rental of apartments and off-site marketing. 2. Conducts tours of models, vacant apartments, property, and property amenities. 3. Performs all the daily and monthly duties associated with the renewal of existing residents as assigned by the Property Manager. 4. Inspecting and upkeep of models, leasing office, tour route and overall property appearance, opens and closes models and target units daily. 5. Informs prospects of Company Qualifying Criteria and ensures that all applicants are screened, approved by Property Manager, and ensures application to move-in process meets all Company standards and practices. 6. Processes rental applications and verifies all information on rental applications, obtains all necessary verifications in a timely manner for review and final approval of the Property Manager. 7. Completes online Renewal Agreement, emails, and ensures eSignatures are obtained and countersigned by Property Manager prior to lease expiration date. 8. Performs and documents renewal inspections, ensure all renewal documentation is accurate and updated in OneSite, including, notices to vacate, inspection notes and all resulting maintenance service requests are processed immediately, delivers and documents renewal thank you cards and/or gifts. 9. Performs daily renewal follow up until assigned renewals are concluded. Documents all renewal follow up and resident communication in OneSite, including signed renewals, notices to vacate, MTM and transfers. Ensures all maintenance notifications are processed for all on-site transfers in a timely manner. 10. Ensures that the Rental Criteria tab in Lead2Lease is properly filled out on all guest cards. 11. Follows Company policy for daily prospect follow up with phone calls, emails, and written correspondence to all qualified, unclosed traffic. Properly documents all follow up attempts and communications in Lead2Lease on a daily basis. 12. On a daily basis, performs all the duties required to monitor and communicate with past walk-in, phone and email traffic to promote and/or initiate return visits. 13. Ensures that all guest cards in Lead2Lease are maintained properly and all traffic is closed out properly by either applying for a unit or concluding the lead. 14. Follows Company policy and communicates effectively and promptly using OneSite tools to Maintenance Department for all new rentals/move-ins, all move-in inspections which resulted in OneSite service requests. Follows up with Maintenance Department prior to move in day to ensure all maintenance items completed. Re-inspects unit prior to move-in. 15. Assists with the preparation of renewal and move-in gift bags, places in unit prior to move-in with Olen Thank You card. 16. Follows through and assumes accountability for overall move-in program to see that everything is handled correctly. 17. Keeps informed about sister communities, referring the prospect when unable to assist them at your property and properly follows Company Policy on Sister Referral process. 18. Assists with initiating resident service requests. 19. Assists with completing service request follow up calls and assists with closing resident service requests. 20. Assists in maintaining required inventories for community supplies and equipment. 21. Assists in maintaining up-to-date and accurate reports and completing all reports as requested by Property Manager and/or Corporate Office. 22. Assists in collection of rents and deposits. Prepares rent receipts. 23. Prepares and maintains resident files and general office files. 24. Attends leasing meetings. 25. Handles resident concerns in the absence of Property Manager. 26. Performs all tasks assigned by Property Manager, and/or Corporate office. 27. Abides by all Company policies and procedures and use all appropriate forms. MARKETING: 1. Conducts monthly market surveys of comparable properties in surrounding areas and updates Property Manager, keeps marketing notebook of all competition. 2. Based on monthly marketing survey, traffic, and resident notices, makes suggestions to the Property Manager on which properties may need to be removed from the comparable set because they are not truly comparable and why. If applicable due to new builds, suggests any new comps that should be added, why they should be added and provide Property Manager comp set data for review. 3. Reviews all advertising and keeps abreast of all rates, incentives, and concessions at the community, as well as competitive communities. 4. Utilizes competitive marketing data to overcome prospect objections at time of tour and telephone call. 5. Assists with Outreach Marketing Program. Follows all Company policies for documenting all Outreach Marketing performed. 6. Participates in all monthly resident marketing programs, renewal thank you cards, NTV thank you cards. 7. Maintains a leasing kit. PROPERTY RELATIONS: 1. Assists with the planning and execution of property retention programs and resident activities. 2. Obtains maximum renewals of existing resident leases in accordance with Company renewal policies and procedures. GENERAL OPERATIONS: 1. Performs duties associated with the rental of apartments and off-site marketing. 2. Conducts tours of models, vacant apartments, property, and property amenities. 3. Performs all the daily and monthly duties associated with the renewal of existing residents as assigned by the Property Manager. 4. Inspecting and upkeep of models, leasing office, tour route and overall property appearance, opens and closes models and target units daily. 5. Informs prospects of Company Qualifying Criteria and ensures that all applicants are screened, approved by Property Manager, and ensures application to move-in process meets all Company standards and practices. 6. Processes rental applications and verifies all information on rental applications, obtains all necessary verifications in a timely manner for review and final approval of the Property Manager. 7. Completes online Renewal Agreement, emails, and ensures eSignatures are obtained and countersigned by Property Manager prior to lease expiration date. 8. Performs and documents renewal inspections, ensure all renewal documentation is accurate and updated in OneSite, including, notices to vacate, inspection notes and all resulting maintenance service requests are processed immediately, delivers and documents renewal thank you cards and/or gifts. 9. Performs daily renewal follow up until assigned renewals are concluded. Documents all renewal follow up and resident communication in OneSite, including signed renewals, notices to vacate, MTM and transfers. Ensures all maintenance notifications are processed for all on-site transfers in a timely manner. 10. Ensures that the Rental Criteria tab in Lead2Lease is properly filled out on all guest cards. 11. Follows Company policy for daily prospect follow up with phone calls, emails, and written correspondence to all qualified, unclosed traffic. Properly documents all follow up attempts and communications in Lead2Lease on a daily basis. 12. On a daily basis, performs all the duties required to monitor and communicate with past walk-in, phone and email traffic to promote and/or initiate return visits. 13. Ensures that all guest cards in Lead2Lease are maintained properly and all traffic is closed out properly by either applying for a unit or concluding the lead. 14. Follows Company policy and communicates effectively and promptly using OneSite tools to Maintenance Department for all new rentals/move-ins, all move-in inspections which resulted in OneSite service requests. Follows up with Maintenance Department prior to move in day to ensure all maintenance items completed. Re-inspects unit prior to move-in. 15. Assists with the preparation of renewal and move-in gift bags, places in unit prior to move-in with Olen Thank You card. 16. Follows through and assumes accountability for overall move-in program to see that everything is handled correctly. 17. Keeps informed about sister communities, referring the prospect when unable to assist them at your property and properly follows Company Policy on Sister Referral process. 18. Assists with initiating resident service requests. 19. Assists with completing service request follow up calls and assists with closing resident service requests. 20. Assists in maintaining required inventories for community supplies and equipment. 21. Assists in maintaining up-to-date and accurate reports and completing all reports as requested by Property Manager and/or Corporate Office. 22. Assists in collection of rents and deposits. Prepares rent receipts. 23. Prepares and maintains resident files and general office files. 24. Attends leasing meetings. 25. Handles resident concerns in the absence of Property Manager. 26. Performs all tasks assigned by Property Manager, and/or Corporate office. 27. Abides by all Company policies and procedures and use all appropriate forms. MARKETING: 1. Conducts monthly market surveys of comparable properties in surrounding areas and updates Property Manager, keeps marketing notebook of all competition. 2. Based on monthly marketing survey, traffic, and resident notices, makes suggestions to the Property Manager on which properties may need to be removed from the comparable set because they are not truly comparable and why. If applicable due to new builds, suggests any new comps that should be added, why they should be added and provide Property Manager comp set data for review. 3. Reviews all advertising and keeps abreast of all rates, incentives, and concessions at the community, as well as competitive communities. 4. Utilizes competitive marketing data to overcome prospect objections at time of tour and telephone call. 5. Assists with Outreach Marketing Program. Follows all Company policies for documenting all Outreach Marketing performed. 6. Participates in all monthly resident marketing programs, renewal thank you cards, NTV thank you cards. 7. Maintains a leasing kit. PROPERTY RELATIONS: 1. Assists with the planning and execution of property retention programs and resident activities. 2. Obtains maximum renewals of existing resident leases in accordance with Company renewal policies and procedures. SUPERVISORY RESPONSIBILITIES: There are no supervisory responsibilities in this position. CERTIFICATES, LICENSES, REGISTRATIONS: Driving is an essential duty of this position LANGUAGE SKILLS: Ability to speak, read, write and understand the English language in order to perform the following: 1.
